PROGRAMME OFFICER

Department: Programmes

Location: Lahore Head Office (with regular field travel)

Reporting To: Manager Programmes

Contract Type: Full-Time

 

Position Description

The Programme Officer will serve as the focal point for implementing Al-Mustafa Welfare Trust’s one-to-one programme Project for orphaned children & other across Pakistan. The officer will be responsible for managing the end-to-end delivery of the Project initiative in coordination with AMWT UK and field offices in Pakistan.

The role requires ensuring the timely disbursement of sponsorship funds, maintaining an accurate and updated database of sponsored children or beneficiaries, collecting beneficiary updates for donors, and implementing safeguarding protocols. The person must exhibit integrity, attention to detail, and a deep understanding of child welfare and donor accountability.

Key Responsibilities

  1. 1.     Liaison and Coordination with AMWT UK

1.1  Act as the lead contact for AMWT UK’s orphan sponsorship or Program team to ensure real-time communication and alignment on sponsorship or other Project cases.

1.2  Share regular updates, raise any flags, and ensure donor queries are responded to within the agreed timeframe.

1.3  Ensure sponsorship additions, renewals, exits, and documentation are reflected in the shared orphan care database.

 

  1. 2.     Quarterly Disbursement Management

2.1  Coordinate with the finance department to receive and disburse sponsorship payments to guardians at least every quarter.

2.2  Ensure timely fund transfers and maintain proper documentation, including signed acknowledgements from guardians.

2.3  Flag any missed disbursements or changes in guardian status for prompt action.

 

  1. 3.     Beneficiary Profile Management

3.1  Collect and verify orphan, Beneficiaries data through field visits, including photos, school admission records, B-Form, guardian CNIC, and income verification.

3.2  Conduct annual updates of each beneficiary or child’s photo, school progress report, madrassa certification (where applicable), and household conditions.

3.3  Maintain and back up a clean, searchable digital record for each child with donor tags and sponsorship timelines.

 

  1. 4.     Safeguarding and Child Protection

4.1  Ensure safeguarding and child protection policies are followed throughout all interactions with children, guardians, and schools/madaris.

4.2  Identify and report any concerns or risks (e.g., school dropout, neglect, exploitation) through official channels.

4.3  Provide safeguarding orientation to any field or admin staff engaged in the orphan care programme.

4.4  Maintain strict confidentiality of all beneficiary data.

 

  1. 5.     Field Monitoring and Verification

5.1  Conduct regular site visits to schools and madrassas to verify the child’s attendance, learning progress, and well-being.

5.2  Coordinate with guardians, schoolteachers, and madrassa staff to ensure holistic support for the orphan.

5.3  Track children at risk of exiting the programme and assess their continued eligibility.

 

  1. 6.     Donor Communications and Reporting

6.1  Compile quarterly or annual update reports for donors, including updated child photos, academic or Hifz progress, and a personalised note or greeting.

6.2  Support the development of donor-facing impact stories and Eid/birthday messages from children where appropriate.

6.3  Ensure accuracy, timeliness, and compassion in presenting each child’s story.

Required Qualifications

  • Master’s degree in social work, Development Studies, Education, Islamic Studies, or related fields.
  • At least 3 years’ relevant experience managing orphan sponsorship or child-focused development programmes.
  • Strong familiarity with child safeguarding or protection principles, donor-funded projects, and reporting protocols.
  • Experience working with international partners or UK-based charities will be considered an asset.

  • Proficiency with MS Excel, digital folders, Google Drive, and WhatsApp for business communication.
