Job Description – HR Officer
Position Title: Senior HR Officer
Reports to: HR Manager
Location: ACT International , Islamabad I-9/3
Purpose of the Role
The HR Officer will support the HR Manager in day-to-day HR operations, including recruitment, onboarding, employee records management, payroll support, and HR compliance, ensuring smooth HR service delivery across the organization.
Key Responsibilities
- Assist in the recruitment process by posting job advertisements, collecting applications, and initial screening or shortlisting CVs.
- Schedule and coordinate interviews and written tests.
- Conduct reference/background checks for selected candidates.
- Draft and issue employment contracts and regret emails to unsuccessful candidates.
- Maintain recruitment records and regularly update recruitment trackers.
- Update Trackers.
- Prepare induction plans and onboarding materials for new hires.
- Organize and facilitate the orientation sessions and assist new hires with joining formalities.
- Verify and ensure that all required documentation for new employees is complete and properly filed
- Maintain and update personnel files (hard copy) as per HR checklist.
- Ensure accurate and timely entry of employee data into the HCM/HR software.
- Maintain leave, attendance, and timesheet records in coordination with the HO & Field office staff.
- Keep records of contract validity, benefits (EOBI, health & life insurance), and renewals.
- Support in managing benefits, including health insurance, medical claims, and EOBI.
- Coordinate with Finance for salary disbursement and consultant contract payments.
- Draft HR-related letters, memos, and documentation.
- Support in performance management processes.
- Assist in HR audits, compliance checks, and reporting.
- Maintain confidentiality of all HR Matters.
- Provide support in organizing HR trainings, orientations, and engagement activities.
- Address routine employee queries and concerns.
- Ensure compliance with HR policies and procedures.
- Perform other duties assigned by the HR Manager or Management.
Qualifications & Skills
- Bachelor’s or Master’s degree in Human Resources, Business Administration, or related field. HR Diploma 6 months
- 2–3 years of HR experience, preferably in recruitment and HR operations.
- Knowledge of HR systems, processes, and compliance requirements.
- Strong organizational, communication, and interpersonal skills.
- Ability to maintain confidentiality and work with integrity.
- Proficiency in MS Office and HR software (HCM preferred).
