Scope of Work
The scope of work for this role involves to serve as the first point of contact for all visitors, staff, and partners, delivering a welcoming, professional, and courteous front-desk experience. The role supports the overall efficiency of office operations through effective communication handling, administrative support, and coordination of logistical tasks.
Key Responsibilities:
Front Desk & Guest Management
- Serve as the first point of contact for all visitors, partners, and stakeholders.
- Greet and guide guests professionally, ensuring their needs are addressed promptly.
- Maintain visitor logbook and issue visitor passes as per office protocols.
Communication & Call Handling
- Answer, screen, and direct telephone calls in a courteous manner.
- Take accurate messages and ensure timely delivery to concerned staff.
- Manage official email/telephone inquiries and redirect appropriately.
Mail & Courier Handling
- Manage incoming and outgoing mail, parcels, and couriers.
- Maintain proper record of dispatched and received documents.
- Ensure timely circulation of official correspondence.
Meetings & Logistics Support
- Coordinate meeting room bookings and ensure readiness (stationery, equipment, seating).
- Arrange and supervise refreshments during official meetings and events.
- Provide administrative support during internal and external meetings when required.
Office Management Support
- Ensure reception and waiting areas are tidy, organized, and welcoming.
- Maintain updated contact lists (vendors, stakeholders, staff).
- Support administrative team in maintaining office supplies inventory.
- Assist in minor clerical tasks (photocopying, scanning, filing) as needed.
Compliance & Confidentiality
- Handle sensitive information with confidentiality and discretion.
- Follow organizational protocols, security guidelines, and safeguarding principles.

Educational & Experience Requirement
The individual holding this position shall possess the following:
- Minimum Bachelor’s degree (preferably in Social Sciences, Business Administration, or related field).
- At least 2 years of relevant experience, preferably in the development/nonprofit sector.
- Strong communication and interpersonal skills with a welcoming attitude.
- Proficiency in MS Office (Word, Excel, Outlook) and office equipment handling.
- Ability to multitask and prioritize in a fast-paced environment.
- Professional appearance and behavior aligned with organizational values.
