Job Summary

The Donor Care Officer is responsible for maintaining positive relationships with individual and corporate donors by ensuring timely communication, accurate donor records, acknowledgment of donations and excellent donor support. The role focuses on enhancing donor satisfaction, retention and engagement while ensuring transparency and professionalism in all donor interactions.

Key Responsibilities

  • Develop and maintain strong relationships with existing and potential donors.
  • Respond promptly and professionally to donor inquiries through phone, email, WhatsApp, and social media.
  • Ensure timely acknowledgment of donations through thank-you letters, emails, and receipts.
  • Maintain accurate donor records and update the donor database regularly.
  • Coordinate with the Finance Department to verify donations and ensure proper documentation.
  • Assist in planning and executing donor engagement campaigns, fundraising activities, and appreciation events.
  • Prepare donor communication materials, including newsletters, impact reports, and updates.
  • Follow up with recurring donors and encourage donor retention through regular engagement.
  • Coordinate with project teams to collect beneficiary stories, project updates, and impact data for donor communication.
  • Monitor donor feedback and address concerns in a timely and professional manner.
  • Support fundraising initiatives by identifying opportunities for donor engagement and relationship building.
  • Ensure compliance with organizational policies regarding donor confidentiality and data protection.
  • Generate periodic reports on donor activities, donations received, donor retention, and communication status.
  • Assist in preparing presentations and reports for management regarding donor relations.

 

Required Qualifications

  • Bachelor's degree in Business Administration, Marketing, Social Sciences, Communications, or a related field.
  • 1–2 years of experience in donor relations, customer service, fundraising, CRM management, or a similar role, preferably in the NGO sector.
  • Fresh graduates with exceptional communication skills and relevant internship experience may also be considered.

  • Good organizational and time management skills.
  • Attention to detail and accuracy in record keeping.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Experience with CRM or donor management systems is an advantage.
  • Ability to maintain confidentiality and handle sensitive donor information.
  • Ability to work independently as well as collaboratively within a team.
